1. Information We Collect and How We Use It
We split the data we collect into two distinct categories:
  • Clinical & Patient Data: When you register for virtual care, book an appointment, or complete intake documentation, we collect personal details (name, email, phone number, provincial health card number) and health histories. This data is strictly used by our cross-provincial practitioners to provide medical care, schedule virtual appointments, and manage billing.
  • Website Analytics Data: When browsing our public website, we automatically collect non-identifiable technical data (IP addresses, device types, pages visited) via cookies to optimize website performance and improve user experience.
2. Third-Party Platforms and Data Residency
To securely operate our virtual clinic, we integrate with trusted third-party software providers:
  • Jane Platform: All patient charting, virtual telehealth video sessions, scheduling, and invoicing are securely managed through Jane App. Patient health data is encrypted both in transit and at rest, and is stored securely on Canadian data servers in compliance with Canadian health privacy frameworks.
  • Clinic Site: Our website provider, Clinic Site, securely integrates the Jane scheduling interface into our public site.
  • Google Analytics: We use Google Analytics to track generalized website traffic performance. Google Analytics collects data using cookies. We do not send any Personal Health Information (PHI) or personal patient identifiers from Jane to Google Analytics. 3. Cross-Border Virtual Care Data Flow
Because NuHaven Health operates virtually across New Brunswick, Nova Scotia, Prince Edward Island, and Ontario, your medical records may be accessed securely by licensed practitioners operating from different Canadian provinces. All data remains housed on encrypted Canadian cloud infrastructure and never leaves Canadian jurisdiction.
4. Consent and Opt-Out
By using our booking tools and filling out virtual intake forms, you consent to the collection and use of your clinical information for treatment purposes.
For website analytics tracking, you can opt out of cookies by adjusting your browser settings or installing the Google Analytics Opt-out Browser Add-on.
5. Data Retention and Protection
We maintain strict administrative, physical, and digital safeguards to secure your virtual medical files. Patient records are retained in accordance with the regulatory timelines mandated by the respective provincial health colleges and local privacy commissioners in NB, NS, PEI, and ON.

You have the right to request access to your medical records, request corrections to inaccurate personal data, or inquire about our data handling practices.
